👥 Categories of Office Staff

Category Role and Description
Top Management The directors and senior managers who make major decisions and set goals for the organisation. They are responsible for the overall direction of the business. Examples: Managing Director, Chief Executive Officer (CEO), Board of Directors.
Middle Management Supervisors and department heads who act as a bridge between top management and clerical staff. They ensure that instructions from above are properly carried out. Examples: Department Managers, Supervisors, Team Leaders.
Clerical Staff Staff who carry out the day-to-day operational and administrative tasks of the office. They are the backbone of the office. Examples: Typists, Receptionists, Filing Clerks, Office Messengers, Data Entry Operators.

📋 Duties of Clerical Staff

  1. Typing and word-processing of documents, letters, and reports.
  2. Filing and retrieving documents from filing systems when needed.
  3. Answering telephone calls and directing visitors to the right departments.
  4. Writing and dispatching letters, memos, and circulars.
  5. Recording and handling incoming and outgoing mail.
  6. Photocopying, scanning, and laminating documents.
  7. Scheduling appointments and maintaining office diaries and calendars.
